Safe merge checklist for Shopify customer profiles

A Shopify customer merge can’t be undone, so check before you confirm. Make sure the profiles belong to one person, choose the details to keep, and know that a subscribed profile keeps the merged customer subscribed. Check for Shopify’s blockers. MergeGuard keeps a snapshot of each merged customer as a record, and the merge stays permanent.

At a glance

  1. Accept that the merge is permanent

Shopify says that after profiles are merged, you can’t reverse the process. Treat every merge as final.

  2. Check why they match

Look at what the profiles share: name, email, phone and address. In MergeGuard, the review sheet shows this under “Why we think it’s one person”.

  3. Rule out two different people

People who live together, gift buyers and business accounts can share an email, phone or address. If the profiles belong to different people, choose Not a duplicate.

  4. Choose the details to keep

In a group’s review, pick the email, phone, name and address the merged customer keeps. Fix a mistyped email first, so the typo isn’t the one kept.

  5. Check marketing subscriptions

If any profile in the group is subscribed to email or SMS marketing, the merged customer stays subscribed.

  6. Check for Shopify’s blockers

Shopify won’t merge a profile with a subscription contract, a B2B company link, a saved card, store credit, a Multipass login, erased personal data, or a merge or data request in progress.

  7. Check the notes and tags limits

Shopify allows up to 5,000 characters of notes and 250 tags on the merged profile.

  8. Decide what may merge automatically

Automatic merging stays off until you switch it on, and then it merges strong matches, plus groups that need your judgment only if you add them.

Shopify customer merges are permanent. Use this checklist before every merge you confirm, whether you merge in Shopify admin or in MergeGuard for Shopify.

1. The merge can’t be undone

Shopify’s help page says it plainly: “After the profiles are merged, you can’t reverse the process.” Shopify doesn’t tell the customer about the merge either.

MergeGuard keeps a snapshot of each merged customer and saves every merge in History. The snapshot is a record of what each profile looked like before the merge. You can read it, and you can’t use it to split the customer again. If you’re unsure about a group, leave it for later. You can merge a pair next week, and you can never unmerge one.

2. The details point to one person

Look at what the profiles have in common. A matching email and phone is strong evidence. A shared address on its own is weak, because families and flatmates share addresses.

In MergeGuard, each group opens on a review sheet titled “Why we think it’s one person”, with the matching name, email, phone and address details side by side. Groups land in Strong (details match closely) or Needs your judgment (some details differ). Groups Shopify won’t merge show as Protected.

3. They aren’t two people who share details

Keep profiles separate when:

  • two people share an email, phone or address, such as people who live together or a business account
  • one person bought a gift for someone else using their own details
  • it isn’t clear they’re one person, and you can’t check

In MergeGuard, choose Not a duplicate for these groups. The group leaves your list and never merges, and Restore puts it back. A group you leave open stays open, and if automatic merging is on, MergeGuard can merge it when it updates. Relatives you mark as not duplicates appear on the Family members list in Win-back.

4. You keep the right details

Shopify lets you choose the merged profile’s information before you confirm. Check each field: email, phone, name and address.

MergeGuard recommends a profile to keep with your merge rule, from the profiles that have the details the rule asks for, or from every profile when none has them. The Merge rule setting offers Email, Phone, and Email and phone, which is the default, and it doesn’t change which groups MergeGuard finds. The kept customer uses a subscribed email or phone when one of the profiles has it. You can change any field for a group before you merge it.

If one profile has a typo such as gmial.com, fix the email first. A contact fix can be undone once, and it doesn’t change the customer’s subscription.

5. You know what happens to marketing subscriptions

Shopify’s rule: “If the customer is subscribed to email and SMS text marketing in one profile, but not in the other, then the merged profile is subscribed.”

MergeGuard follows the same rule. If any merged profile is subscribed to email or SMS marketing, the merged customer stays subscribed. A wrong merge could subscribe someone who never agreed, which is one more reason to check step 3 carefully.

6. Shopify allows the merge

Shopify blocks a merge when either profile:

  • has, or has ever had, a subscription contract
  • is a B2B customer linked to a company, or still linked to past B2B orders
  • has a vaulted credit card
  • has a store credit account
  • has a Multipass login
  • has been deleted
  • has been redacted (its personal data erased), or a data redaction request is in progress

Shopify also blocks it while a customer profile merge or a customer data request is in progress.

MergeGuard can’t bypass these rules. It shows these groups as protected profiles, with the reason. Read why Shopify blocks a merge for each case.

7. Notes and tags fit

The merged profile can hold up to 5,000 characters of notes and 250 tags. If the combined profiles go over, trim them first.

8. Automatic merging only covers what you chose

Automatic merging is off until you switch it on. When it’s on, it merges strong matches, and groups that need your judgment only if you added them in Settings. Protected profiles are never merged automatically, and automatic work stops before your allowance runs out. Read more about automatic merging.
